Appointments

Before an appointment can be processed by the Graduate Medical Education Office, the following materials must be received in 303 Light Hall, (5283):

For Reappointments of Clinical Fellows/Trainees (in same program)

Reappointment request form

For New Clinical Fellow Appointments (incoming or transferring to a new program)

Application (ERAS or Vanderbilt application)
Current curriculum vitae
Copies of letters of recommendation
Letter from the Program Director with Chair approval requesting the appointment, addressed to the Associate Dean for GME, Kyla Terhune. At a minimum, this letter should include:

  • Program Name
  • Position/Title
  • PGY Level
  • Appointment Period (one year period)
  • Funding Source and Location

For New Resident Appointments (incoming)

Application (ERAS or Vanderbilt application)
Current curriculum vitae
Copies of letters of recommendation

Additional requirements for all GME appointees

  • If the applicant graduated from a medical school outside of the US, Canada or Puerto Rico, a copy of a valid ECFMG Certificate is required with the appointment request packet. The Administrative Director for GME at Vanderbilt is the designated Training Program Liaison for ECFMG Graduates.
  • If the applicant is a foreign national, a copy of a valid J-1 or H-B visa is required.

An official medical/dental school transcript will be required of all GME appointees prior to employment (mailed directly to GME from the issuing institution). Appointees will receive instructions regarding the transcript requirement in the appointment packet.
