New Clinician Orientation FAQs

Below are some of the most common questions we receive regarding enrolling new clinicians here at VUMC:

 

Q: When submitting the New Clinician Enrollment form, do I have to complete all fields?

A: Yes. We cannot process the enrollment until you have completed the form.

 

 

Q: Do you all handle New Faculty Orientation?

A: New faculty Orientation is handled through the School of Medicine.  For any questions related to New Faculty Orientation please reach out to office.of.faculty.affairs@vumc.org or by visiting https://www.vumc.org/faculty/new-faculty-orientation

 

 

Q: Can the NCO/eStar training be done outside of a class?

A: New Clinician Orientation must be attended via virtual platform when the provider is scheduled. eStar classes must be attended either virtually or in-person depending on the type of class required for the provider.

 

 

Q: What happens when my clinician misses their NCO/eStar?

A: It is the responsibility of the enrolling manager to communicate enrollments to their new provider. Many do not have access to their VUMC email until their start date. The enrolling manager will need to send communication to the new providers non-VUMC email to confirm enrollments. The enrolling manager will receive an email if the provider does not show up for their assigned NCO orientation and eStar classes.

 

 

Q: What happens if they can’t make their NCO/Estar?

A: New providers must attend NCO during their first 30 days at VUMC. No employee can gain access to eStar until classes have been attended, 80% proficiency met on the test, and their credentialing has been completed. Employees will not be granted access to eStar until their enrolling manager completes the Pegasus security ticket for access to the system. Q: Are research faculty required to attend NCO?

A: Research scientists are not required to attend NCO. They are welcome to attend the morning portion if you would like them to attend. Please see the agenda here for that schedule of offerings.

 

 

Q: How can new providers find out more about VUMC Benefits?

A: All new employees have a 30-days from their start date to enroll in benefits.  Questions about benefits, reach out the HR employee service center at 615-343-7000 or by emailing them at human.resources.vumc@vumc.org

 

 

Q: How does my new provider get their VUMC ID Badge?

A: As the onboarding admin you will need to submit a Pegasus ticket https://pegasus.vumc.org/request/start/7314.  Click here for the badge ID process and requirements.
