Regional Hospital eStar Training for Community Providers

Below is the eStar training scheduling process for Community Providers at the regional hospitals. This process is only applicable to VUMC Affiliates/Non-Employees. VUMC employees will attend New Clinician Orientation and follow a different onboarding process. All training for providers will be held virtually.

To ensure a smooth transition, below please find the standard process for scheduling eStar training:

  1. eStar training cannot be scheduled until the new community provider has claimed their VUMC ID and they are active in the Vanderbilt Learning Exchange. The regional hospital teams are responsible for all credentialing, VUMC ID communications, confirming Multi-Factor Authentication (MFA) set up, and any additional information required for the provider to begin working at the hospital. 
  2. All community providers are required to attend eStar training PRIOR to seeing patients. Providers do NOT have to be credentialed to attend eStar training.
  3. Regardless of prior Epic experience, community providers must attend the full eStar training, conducted by a VUMC eStar Training Credentialed Trainer, required for their role at the community hospital. This is due to the unique VUMC build for Epic.
    • Currently, there is no abbreviated training available for those with prior Epic experience.
  4. Upon confirming with the provider, they have claimed their VUMC ID, the regional hospital designee will need to submit the Community Provider eStar training request form. Please ensure the form is filled out completely and include the date of eStar training class.
    • eStar classes for providers are held on Monday for Hospitalists and Surgeons and Tuesdays for ED, OB/GYN, Cardiology, Radiology, Anesthesiology, etc. Please see the schedule of classes by clicking here for the schedule.
    • Depending on the provider's role within the hospital, they may be required to take multiple eStar classes. 
    • ***VUMC policy is to cancel classes 24 hours in advance if there are no enrollments***
  5. Complete an eStar access request Pegasus Ticket for the new provider to have the proper Epic templates assigned; templates will be assigned by eStar Security when the ticket is submitted. 
    • Access to eStar will NOT be granted until all training is complete, and the provider is credentialed. 
  6. After the new community provider is enrolled in their required classes, the New Clinician Team will send an email to the regional hospital designee with their eStar class dates and asking the regional hospital designee to forward the information to the community provider. This email will include information on preparing for their training and setting up their computer for training.
  7. Approximately 16-24 hours prior to the new provider's eStar class(es) an email with the virtual class information will be sent to the community provider's email and the regional hospital designee.
