Collaboration Space Reservations

Need a place to free your minds? Spend your next team work session in our Collaboration Space!

To reserve our Collaboration Space, please copy the form below into an email, fill it out, and email the completed form to strategyandinnovation@vumc.org. We will reply with availability.

Helpful information to know:

  • LOCATION: We are located at 3401 West End Ave, Suite 290.
     
  • ENTERING THE BUILDING: You enter the building from the parking garage on Acklen Ave. (The front entrance on West End is not accessible to visitors.)
     
  • PARKING: We will provide you a validation card to use when you leave. Scan your parking first, then the validation card.
     
  • PARTICIPANT LIMIT: 100 people.
     
  • SCREENS: We have a limited number of screens and laptops available on request. We encourage you to bring and use your laptops.
     
  • FOOD AND DRINK: You are welcome to bring any food and drinks to consume while you work. We will have water, coffee, and tea available for you.
     
  • INCIDENTAL CHARGES: The reservation is free. Incidental charges for parking, soft drinks, and snacks are sometimes applicable. We will notify you when that is the case. Payments are charged to a worktag you provide us.
     
  • EXTERNAL PARTICIPANTS: Only VUMC departments may reserve this space. If a department hosts an event on behalf of an external organization, they must meet any compliance and legal requirements (e.g., liability and fair market value). Consult the Offices of Legal Affairs and Contracts Management, or their designees. Strategy and Innovation may discuss this with you prior to approving a reservation.
     
  • INCLEMENT WEATHER. The space will be available for any reservation provided one (1) Strategy and Innovation team member can safely arrive and depart that day. When the Medical Center is on Yellow Alert Standby or greater for Inclement Weather, we will provide additional guidance on when we need decisions on cancellations made.
