Find your Microsoft 365 Exchange Online Archive

From a Workstation

From a workstation with Microsoft Outlook installed, find your archive on the left menu bar under your personal inbox. The folder will have the name ''Archive'' in it.

From Outlook on the Web (OWA)

From a browser, find your archive on the left menu bar under your personal inbox. The folder will have the name ''Archive'' in it.

How does M365 Exchange Online Archive work?

An online Archive Mailbox is created separate from your main mailbox.
The default policy automatically moves your mail & calendar items that are older than 1 year into your Online Archive mailbox.
Your folder structure is retained when items are moved into it.
It is available through the Outlook client and Outlook on the Web (OWA).
An option to select which mail item/folder is not archived is available, if needed.
It allows you to manually move mail items into your archive mailbox if you like.
Your main mailbox storage size will reduce as mail items move in your archive mailbox.
You can search both your main mailbox and your archive mailbox at the same time.
Outlook performance will improve as archiving will reduce email ‘bloat’ within your main mailbox.

What is M365 Exchange Online Archive?

Microsoft Exchange Online Archive is a Microsoft 365 cloud-based, enterprise-class archiving solution for organizations that have deployed Microsoft 365 plans. Exchange Online Archive assists organizations with archiving, compliance, regulatory, and Microsoft Purview eDiscovery challenges.
As a Microsoft online service, Exchange Online Archive is designed to help meet the need for robust security, reliability, and user productivity.
It is an advanced enterprise archiving solution which retains your archived mail items in a specialized mailbox and automatically expands when needed. It is accessible through the Outlook client and Outlook on the web (OWA).

How do I get M365 Exchange Online Archive setup for my mailbox?

There is nothing to set up. By default, all M365 E3 licensed users will have this feature turned on automatically for them.

How do I access my M365 Exchange Online Archive?

The M365 Exchange Online Archive can be accessed from your desktop Outlook client or from a web browser and using the following web address: https://portal.office365.com, then click on the Outlook mail icon, or directly into OWA using this address: https://outlook.office.com
Once you are in either the Outlook Client or Outlook on the Web (OWA), you will see one of two items on the left side in the folder list towards the bottom:
- For Outlook, you will see ‘Online Archive - <your email address>’
- For OWA, you will see ‘Personal Archive - <your display name>’

What is the difference between the Outlook Archive Folder vs M365 Exchange Online Archive?

The Outlook Archive Folder is found within your own mailbox. It is a legacy pre-created folder and is like the folders you can create yourself. It provides no additional benefits.

Should I use M365 Exchange Online Archiving instead of using a PST file?

Yes, M365 Exchange Online Archiving is recommended for your VUMC mailbox.

Outlook’s PST file is not recommended for use with your M365 mailbox. Online Archiving is specifically designed for M365 mailboxes and offers enterprise archiving features. The .pst file type, a personal storage table, can contain messages, emails, calendar events, email addresses, etc. This file type is not recommended for network shares and cannot be used in a cloud-based environment, like M365.
Risks in using an Outlook PST file:
- Possible corruption of the PST file
- Possible complete loss of the PST file from a device
- PST could cause Outlook client not to open
- PST file NOT accessible from the web
365 Online Archiving removes all these risks. You can even drag your PST mail items into your Online Archiving Mailbox and stop using PST file altogether.

As previously announced, VUMC IT is covering the cost to replace all workstations currently using a Windows 7 operating system with a new device. Many of you reached out to us to start the process and we extended your original July 1 Device Disable Date to November 15, 2022. We need some final information so we can bring you your new device!

What you should know:

By October 14, 2022, contact the VUMC IT/NTT Help Desk at Keisha.Hutchinson@nttdata.com and let us know where to bring your new device. If you do not contact us by then, your device will be disabled on November 15, 2022.
On November 15, 2022, all devices without a valid exemption will be disabled. If you have a valid business reason why any of your workstations must remain on the Windows 7 operating system, please submit a Request for Security Exemption immediately. (Please note, if you must keep your Windows 7 device, you will continue to be billed for support until the device is picked up for retirement.

Beginning Q4 2022, VUMC IT will finalize the upgrade of telephony technology at Vanderbilt Tullahoma-Harton Hospital (VTHH) and clinic locations. The team has been working for several months to set up new equipment and lines. To complete the project, VTHH staff will get new Cisco phones and outbound calls will be standardizing to 10-digits preceded by a “9”.

New Cisco Phones

VUMC IT Voice Services team will switch out old phones with new Cisco phones by the end of Q4 2022.

New Dialing Standard

In Q4 2022, all outbound calls will change to a standard 10-digits preceded by a “9”. This includes local calls and external calls to another area code.

If you are trying to access your VDI from a browser, you might have seen this:

Instead of accessing VMWare via HTML (browser), download the client on your PC or Mac and greatly reduce the number of errors you might encounter. Find the download portal from the bottom of your login page (see “A” below) or via the download portal.

Beginning September 1, 2022, the way workforce members make phone calls at our Vanderbilt Bedford County Hospital (VBCH) is changing to a standard 10-digits preceded by a “9”. This includes all calls, including internal calls, local calls and external calls to another area code.

On September 1, 2022, begin dialing using a "9" and 10 digits (9-931-555-1212)

ExpeditionTech has begun the multi-year migration of VUMC applications and their related components from directories shared with Vanderbilt University (VU) to the VUMC directory. This includes servers, databases, security groups, resource accounts and file shares, and impacts more than 700 applications.

While most application migrations should occur without significant impact to the workforce, certain applications have an extensive user base and once migrated will require a new login procedure. Users of these applications can expect to receive necessary instructions, support information and expected blackout dates in advance of each migration date.

Please review the Applications Look Up Tool at https://www.vumc.org/it/et-applookup to learn if your applications of interest are scheduled for migration.

As previously announced, Microsoft is no longer supporting their outdated Windows 7 operating system. On July 1, 2022, all workstations still using Windows 7 will be blocked from the network.

These workstations have already been cut off from accessing the virtual private network (VPN) as they are no longer supported by our VPN solution.

Get your new Windows 10 device

If you have a VUMC IT managed Windows 7 workstation, VUMC IT is replacing it with a new Windows 10 device. Here is what you need to do next:

1. Determine which operating system your workstation is running by answering these questions.

a. Schedule some time to work with one of our team members and replace your system if your questions indicate that you have a Windows 7 device.

2. If your workstation is not centrally managed (by VUMC IT), contact your Independent Support Provider (ISP) for guidance on completing the upgrade process before July 1, 2022.

3. Email the team at Windows10Upgrade@vumc.org if you have any questions about the initiative.

Microsoft is no longer supporting their outdated Windows 7 operating system. To ensure the security of our workstations and in support of the broader ExpeditionTech Program, VUMC IT and Vanderbilt Enterprise Cybersecurity are migrating all workstations to the Windows 10 operating system. As a result, all workstations running Windows 7 are impacted.

Effective immediately, Windows 7 workstations can no longer connect to the VPN

The F5 VPN service is no longer supporting Windows 7 workstations; therefore, it is a security risk to allow them to connect to our network. Beginning immediately, workstations running the Windows 7 system will be unable to connect to the VUMC network using the virtual private network (VPN) service.

Windows 7 workstations should be upgraded to Windows 10

Beginning in January of 2022, VUMC IT will begin replacing the last identified administrative workstations currently running Windows 7. VUMC IT has already completed the upgrade of clinical workstations (CWS) to Windows 10.

What you should do next

Determine which operating system your workstation is running by answering these questions.
Schedule some time to work with one of our team members and replace your system if your questions indicate that you have a Windows 7 device.
If your workstation is not centrally managed (by VUMC IT), contact your Independent Support Provider (ISP) for guidance on completing the upgrade process before June 30, 2022.

Assistance and support

If you are having a Windows 7 connectivity issue and your workstation is not centrally managed, the VUMC IT Help Desk will be unable to provide other assistance until the operating system is upgraded.

To support the ExpeditionTech program and our enterprise migration to more modern and secure technology, the ExpeditionTech team will convert existing VUMC IT-managed printers to PrinterLogic, for both clinical and administrative systems in the coming weeks.

The rollout impacts all VUMC IT-managed printers, as well as both shared and stand-alone workstations with current mapping to a printer.

The move to PrinterLogic will:

Establish an enterprise print management solution for VUMC
Help every VUMC workforce member get easier access to printing
Enable easy management of printers from your workstation
Ensure Azure-Active Directory joined Windows 10 devices maintain existing print capabilities

Timeline for PrinterLogic rollout:

Migrations started in late 2021 with enterprise deployment expected by identified groups throughout 2022.
