Overview

​VUMC IT has been managing several changes to enable the Medical Center to move to its new email environment. The first step of our three-step process to move all Medical Center employees to the @vumc.org email address is complete. Learn more about other projects on our Transition Project page.

Upgrading Medical Center-owned administrative workstations (AWS) to Microsoft Office 365 is nearly complete as well.

If you have not received your Microsoft Office upgrade, contact the Help Desk at 615-343-HELP/3-4357. You can also submit a Pegasus Ticket.  If Independent IT Support Providers manage your IT services, they will manage your upgrade.

Unable to access Outlook email?

If you have just received your upgrade and can't access your Outlook email, click on the Start menu in the bottom left-hand corner of your screen. Find the Outlook 2016 icon and click on it. The newest version of your calendar and email should open.

If you continue to experience issues, call the Help Desk at 615-343-HELP/3-4357.

For Visio Users

There is a technical problem assigning Visio subscriptions to users of the Microsoft Office 365 product.  Microsoft is aware of the issue and is working to find a solution.  The VUMC Software Store cannot assign Visio subscriptions to users until Microsoft fixes the problem.

Please contact the VUMC Software Store if you have questions.

Trouble Activating?

As a reminder, after Office has installed on your workstation, you should be asked to Activate Office. Remember to enter your @vumc.org email address, and click on Next.

Step 2 Details

The Microsoft Office upgrade began on June 11, 2018 and actively continued through July 9. If you have not yet received your upgrade, please submit a Pegasus Ticket and indicate that you have not received your Microsoft Office upgrade.  If Independent IT Support Providers manage your IT services, they will manage your upgrade. 

Changes will be made to the following programs during the upgrade process:

  • Outlook
  • Word
  • Excel
  • Access
  • Publisher
  • Skype for Business
  • PowerPoint
  • OneNote
  • OneDrive

There are some work stations that did not receive the Office 2016 upgrade:

  • Computers that do not meet minimum space requirements 
  • Computers that run Aria or Sensis clinical applications

Clinical Workstations (CWS) are not impacted with this upgrade.

Identified Issues with Office 2016 upgrade

 

If you don't see your issue listed below, please submit a Pegasus Ticket and indicate that you are having an Office upgrade issue.

Two sets of icons

After your upgrade you will notice two sets of icons on your taskbar (one set from the old version of Office and one set for Office 2016).

If you have favorite documents saved to the old icons, you can drag them to the new icons.

To remove the old icons, hover over the old set of icons, one by one, right click on your mouse to verify the old version, and "Unpin this program from taskbar".

For users with an Office 2016 Product already activated

Some of our users already have certain Office 2016 products activated on their computer. For example, you might already have Visio or Project 2016 installed on your computer or another version of Office 2016. The VUMC IT deployment of Office 2016 is the 32-bit version of Office 365, which assists Medical Center Departments with needed add-ons. If your system already has some portions of the Office 2016 64-bit version, we can assist. Please submit a Pegasus Ticket and indicate that you have Microsoft Office already installed on your computer. Add your computer number as well as the additional product you are using to the information you provide.

For users of Visio

We are experiencing a technical problem assigning Visio subscriptions to users of the Microsoft Office 365 product.  Microsoft is aware of the issue and is working to find a solution.  The VUMC Software Store cannot assign Visio subscriptions to users until Microsoft fixes the problem.

Please contact the VUMC Software Store and indicate if you wish to cancel your order, or if you wish to keep your order active while we work with Microsoft to fix the problem.
